Often equipment registers no longer reflect the actual state of the plant or mobile fleet. Typically, maintenance task information is not updated on the completion of activities. Actual durations, tools required, and spare parts used are not updated onto Standard Jobs and have to be planned over and over. Data is no longer accurate, including Bills of Material (BOM) and catalogue information. This invariably leads to loss of production, inefficient scheduling of maintenance, and the potential over or under stocking of equipment spares.
Master data is critical from a maintenance perspective to understanding the make and model of the equipment, the strategies which are in place, and the Bills of Materials that are required to carry out each maintenance task. When maintenance is set up correctly in a Computerised Maintenance Management System (CMMS), Preventive Maintenance tasks require very little planning. Durations of each task, the required manning, the spares needed, as well as the required tooling, are all documented clearly on each activity and subsequent work order. When the catalogue of a spare is up to date, all of the required spares are stocked on-site or ordered insufficient time for the maintenance task to be carried out on time.
Maintenance Budgets are also inherently linked to the integrity of master data. It is near impossible to forecast accurate maintenance costs of multiple types of equipment, without having documented the full array of maintenance information. For example, without an accurate BOM on each task, there is no way of knowing the total material cost of each activity.
